Invite to Create or Edit a Credential

As a Server admin (Curator), you can invite users to create or edit credentials. You can also delete the invites. Users are notified via Notifications, banner on their Credentials page, and email notification.

Invite Users to Create a Credential

To invite users to create a new credential: 

  1. Go to Credentials and select the Invites tab.

  2. Select + Invite. A pop-up window Invite User appears.

  3. Select a user you want to invite from the dropdown.

  4. Select Send.

You can see the pending invites in the Invites tab.

The invitation is a one-time event. This means that after the user has accepted and successfully created the credential, they cannot make any further edits.

User receives a notification, prompting them to respond. They can respond in two ways: Accept or Reject.

  • If the user accepts the invitation, they will see a pop-up window where they can input the username and password. The username and password are validated against the local or Active Directory account before the credential is saved.

    Once the user successfully creates and saves the credential, they can see this credential in their Shared With Me tab. Server admin (Curator) can see this credential on their Credentials page, under the Credentials tab.

  • If the user closes the pop-up without creating or saving the credential, the invitation continues to be valid and exist.

  • If the user rejects the invitation, no credentials are added to their Shared With Me tab. The invitation status is set to Rejected.

    If the status is Rejected, Server admin (Curator) can also Re-invite. This sends another invitation to the user.

Invite Users to Edit a Credential

To invite users to edit an existing credential: 

  1. Go to Credentials and select the Credentials tab.

  2. Find the credentials you want a user to edit.

  3. Select the three-dot menu, then select Invite to Edit.

  4. A pop-up window Invite User to Edit appears. Select a user from the dropdown.

  5. Select Send.

You can see the pending invites in the Invites tab.

You can only send credentials with an Invalid status for an update.

User receives a notification, prompting them to respond. They can respond in two ways: Accept or Reject.

  • If the user accepts the invitation, they will see a pop-up window to update the credential.

    Upon first viewing the pop-up, the username box contains the current username of the existing credential. If left unedited, the username retains the old value. The password box is empty.

    The username and password are validated against the local or network account before the credential is saved.

    Once the user successfully updates and saves the credential, they can see this credential in their Shared With Me tab. Server admin (Curator) can see this credential on their Credentials page, under the Credentials tab.

  • If the user rejects the invitation, no credentials are updated in their Shared With Me tab. The invitation status is set to Rejected.

    If the status is Rejected, Server admin (Curator) can also Re-invite. This sends another invitation to the user.

Delete an Invitation

Server admin (Curator) can delete an invitation or multiple ones in bulk for pending invitations.

To delete a single invitation: 

  1. Go to Credentials and select the Invites tab.

  2. Select the three-dot menu next to the invitation you want to delete.

  3. Select Delete.

To delete invitations in bulk: 

  1. Go to Credentials and select the Invites tab.

  2. Select the checkbox next to the invitations you want to delete.

  3. Select Delete.

  4. To confirm, select Delete.

Note

Up to version 2024.1, you could edit the username and password fields of selected credentials. As of version 2025.1, the username is no longer editable and the user can only set or edit the password.

Admin cannot resend an "Invite to add credential" or "Invite to edit credential" to the same user unless the user has to take some action (accept or reject) on the sent invite.
