Custom Roles
With custom roles, administrators can define and assign granular access to users and user groups, which can help minimize security risk and ensure compliance with organizational policies.
Important
Only administrators that have been assigned the Custom Roles capability can create, update, and delete custom roles.
Only administrators that have been assigned the Users capability can assign roles.
Identifying Custom Roles
Roles that are predefined by Alteryx are called System Roles. These roles are immutable.
Roles that are defined by your organization are called custom roles.
On the Roles page, the Role Type column indicates whether a role is a system role or a custom role.
On the Role Details page, the Type column indicates whether a role is a system role or a custom role.
Creating a Custom Role
Navigate to the workspace’s Roles page.
Select Create Role.
Select a Seat Type.
Seat type determine the role’s maximum access.
Users that are assigned this custom role will consume the seat type selected.
Enter a Name and Description.
Name is mandatory and must be unique to the workspace.
Adjust Access.
The left panel lists the platform apps available to your account.
The right panel lists the access associated with the selected platform app.
Access is fully selected by default, matching the seat type the custom role is modeled after.
Deselect any access you do not want users with this role to have.
Select Save.
Updating a Custom Role
Navigate to the workspace’s Roles page.
Select the 3-dot menu for the custom role that should be updated.
Optionally update the role’s Name, Description or access.
Select Save.
Assigning a Custom Role
Navigate to the workspace’s Roles page.
Select the 3-dot menu for the custom role that should be assigned.
Select Assign Role.
Using the Assign Role dialog, select one or more users or user groups.
Select Save.
Note
You can also assign custom roles by navigating to the Users page, User Details page, User Groups page or the Role Details page.
Deleting a Custom Role
Navigate to the workspace’s Roles page.
Select the 3-dot menu for the custom role that should be deleted.
Select Delete.
A warning will be displayed. Confirm the action by selecting Yes, Delete.
Downgrades
If the Custom Roles capability is no longer available to your account due to a downgrade:
All custom roles in all workspaces under the account will be deleted.
Users relying on those custom roles may lose access.
